Do you want parents to pay school fees online, without standing in line at the bank or bringing a deposit slip to the bursary? This template lets them pay for a term or the full year through Paystack, and every payment arrives with the student’s details attached.
Why Use This Template
This template fits private crèches, nursery, primary, and secondary schools, and tutorial centers that collect fees each term. It also suits parents who work long hours, pay from another city, or live abroad. Every payment comes with the student’s name, number, class, and term, so your bursar can match it to the right record without asking parents for proof of payment.
What’s in the School Fees Payment Form
- Student’s Name (Name) – Records the child the payment is for, separate from the parent’s name.
- Student Number (Single line text) – Lets your bursar match the payment to the right record, even when two students share a name.
- Class / Grade (Dropdown) – Runs from Crèche through Nursery, Primary, and JSS to SSS 3.
- Academic Session (Dropdown) – Keeps early payments for next session separate from this one.
- Term (Multiple Items) – Parents choose First Term, Second Term, Third Term, or Full Year, and each option has its own fee.
- Total (Total) – Shows the amount due before checkout opens.
- Parent’s Name (Name) – Lets you personalize follow-up without requiring a full account or login.
- Note to the bursary (Paragraph text) – Gives parents space to mention anything the bursar should know, like a change of class or a sibling at the school.
- Email (for your receipt) (Email) – Paystack needs it to process the payment, and it’s where the parent’s receipt goes.
- Phone (WhatsApp) (Phone) – Gives the bursary a quick way to reach parents about fees or a failed payment.
- Relationship to student (Dropdown) – Shows who paid, which helps when a guardian, relative, or sponsor covers the fees.

How to Create a School Fees Payment Form in WordPress
The easiest way to create a school fees payment form is with WPForms. Select the Paystack School Fees Payment Form Template from the template library. Then use the drag-and-drop builder to add, remove, or relabel any field, including the class list and term fees.
Next, connect your Paystack account with the Paystack addon and turn on payments in the builder’s Payments tab. When a parent clicks Pay School Fees, Paystack’s secure checkout opens so they can pay by card, bank transfer, USSD, or mobile money, depending on your country. WPForms doesn’t see or store card details, and they’re not saved anywhere in your WordPress database.
Finally, set up your Notifications and Confirmation message. Then embed the form on your school website or share the link in your class WhatsApp groups.
Customizing Your School Fees Payment Form
- Match the class list to your country. Ghanaian schools might use KG, Basic 1–6, JHS, and SHS. Kenyan schools might use PP1 through Grade 12, and South African schools Grade R–12.
- Set your currency before you set prices. Switch it in WPForms › Settings › Payments, then update each term’s fee.
- Reward parents who pay for the full year by pricing that option a little below three terms.
- Accept part payments by adding a Single Item field with a user-defined price, so parents can pay what they can and your bursary can track the balance.
Receiving School Fees Notifications
Once your form is live, you’ll want to know as soon as fees come in. In WPForms, you can email your bursary about every payment and show parents a confirmation message with what they paid. Parents get a receipt to keep as proof of payment, and your bursar gets the student’s details in the same email, ready to record.
