Clients often think that paying for a shoot means they own the photos. A clear usage license sets out what they can do with your images, for how long, and where, while you keep the copyright.
Utilizing the Photography Copyright Form Template
Send this form after a shoot, or before you deliver the final gallery. It works as a photography usage license, an image licensing agreement, a photo usage rights form, or a print release. Key sections include:
- Your Details: The client gives their name, business name if there is one, email address, phone number, and mailing address.
- Shoot Details: The client confirms the shoot or project name, the date, and the location, so the license points to the right set of photos.
- License Requested: The client chooses an exclusive or non-exclusive license, ticks the permitted uses (from personal use and social media to advertising and products for resale), and picks a license term and territory. There’s space for notes on how they plan to use the images.
- License Terms: Your terms appear in an editable text block that covers copyright, what’s included and what isn’t, credit, releases, and portfolio use. The client ticks a box to agree.
- Signature and Fee: The client signs and dates the form, then pays the usage license fee by card through Stripe. If usage is already part of your package, delete the fee.
You’ll get an email with each signed license, and the client gets a copy. Add the PDF addon to keep a signed PDF on file, and edit the use list to match the work you do. Copyright rules differ by country, so have your terms reviewed for your area before you use them.
